Job Description
Responsibilities
- Executing key components of the key AIMCo Resilience Program, including facilities, emergency response, travel safety, physical security and occupational health and safety
- Providing first-line facilities and health & safety support for daily operations and emergency response situations
- Leading accommodations and space planning
- Liaising directly with building staff, property managers and contractors to identify facilities issues and develop solutions in a timely manner
- Creating robust facilities, travel management, security and occupational health and safety plans and strategies in collaboration with internal stakeholders
- Implementing Security Validation Assessment recommendations and overseeing AIMCo’s physical security program
- Drafting health & safety policies and procedures in alignment with jurisdictional laws and regulations
- Mapping and ongoing coordination of AIMCo’s employee and consultant onboarding/offboarding processes
- Contributing to the development and day-to-day management of the Facilities budget, including purchasing from approved vendors
- Oversight of AIMCo’s Joint Health & Safety Committees and a new Facilities working group comprised of Office Managers from all AIMCo office locations
- Developing, organizing and delivering employee training and education opportunities related to occupational health & safety, guest management and travel management
- Participating in AIMCo Resilience Governance Committee and Crisis Management Team meetings as a non-voting member
- Implementing new office sustainability initiatives to realize cost savings and promote corporate citizenship
- Tracking lease agreements
- Acting as relationship manager for guest management and travel assistance software and information subscriptions
- Reporting on facilities and health & safety initiatives, goals, objectives and statistics
- Monitoring industry and peer best practices in facilities and health & safety
Our Ideal Candidate
- Possesses a diploma or certificate in Project Management, Business Continuity, Occupational Health & Safety, Crime Prevention through Environmental Design, Facility Management Administration, or similar
- Minimum 10 years’ relevant experience
- Demonstrates expertise in office and building management, space allocation and budget coordination
- Hands on experience with leading occupational health & safety and involvement with emergency response initiatives, as well developing and delivering employee training in these areas
- Proficient in MS Office Suite
- Embraces a variety of opinions, comfortable with professional debate and collaborates to generate best solutions
- Passion for continuous learning and excellent team player
- Strong business acumen and adept at managing shifting priorities and emergency situations
- Demonstrates a high degree of accountability and encourages others to do the same
- Thrives under pressure and takes a proactive approach to problem solving
- Excellent written and verbal communication skills, especially as it relates to drafting and articulating policies and procedures
- Strong interpersonal skills, with the ability to build long-term relationships with various internal and external stakeholders
- Maintains flexibility in providing on-call, after hours and overnight escalation calls
- Holds current First Aid and CPR certification
- Knowledge of diversity & inclusion and sustainability concepts as they relate to facilities and health & safety are considered an asset
- Ability to provide mentorship, instruction or guidance to other members of the Corporate Services team
